Core Purpose

To lead and ensure excellence in all non-academic, administrative, and infrastructural operations. The primary goal is to increase the school’s visibility, marketability and overall non-academic operations, leading to a sustained increase in learner enrolment and retention; and a conducive learning environment that contributes to sustained business growth. 

2. Key Responsibilities

A. School Marketability, Visibility, and Enrolments Growth

  • Branding and Digital Presence: Champion the school’s brand identity. Establish and manage the professional School Website and Social Media Presences (e.g., LinkedIn, Instagram) to improve the school’s public image and information dissemination.
  • Admissions and Marketing: Lead all admissions, marketing, and public relations activities. Develop and execute targeted marketing campaigns to address the post-tuition increase drop in enrolment.
  • Extra Income Generation: Identify, develop, and manage extra income-generating activities utilizing school assets (e.g., renting out the basketball courts, classrooms, or other facilities during off-hours/holidays).
  • Stakeholder Relations: Build and maintain strong, positive relationships with prospective and current parents, community leaders, and regulatory bodies (e.g., MINEDUC).

B. Financial, Governance, and Contract Management

  • Board Reporting: Report directly to the Board of Directors on operational performance, enrollment metrics, financial health (in collaboration with the Accountant), and progress on the Strategic Business Plan.
  • Financial Oversight: Line manage the Accountant and oversee the operational budget, ensuring strict financial control and cost efficiency across all non-academic departments. Support with annual audits; and ensuring corporation documentation including registration, taxes and share valuations are up to date.
  • External Contracts:Oversee all external contracts, ensuring compliance, value for money, and timely renewal/termination. This includes contracts for transportation, utilities, and major service providers.
  • Legal Compliance: Ensure the school operates in compliance with all national laws, educational regulations, and safety standards.

C. Facilities, Logistics, and Support Services

  • Facility Management: Oversee the Logistics Lead in managing, maintaining, and developing the school’s physical infrastructure and equipments. This includes managing planned maintenance and capital projects (e.g., Science Lab, Library,)
  • Critical Service Management: Directly oversee the management of essential support services, including:
    • School Feeding Program (Catering): Ensure the quality, hygiene, and efficiency of the school’s meal/catering program.
    • School Security: Manage the security team or contracted security services to ensure the safety of learners, staff, and assets.
    • School Cleaning Services: Ensure high standards of cleanliness and hygiene across all school buildings and grounds.
    • Uniforms and other school assets managements
  • Procurement: Oversee the procurement of all academic and non-academic materials, equipment, and services.

D. Operational Systems and Technology

  • IT Implementation: Implement the school’s Information Technology Strategy for administrative functions and support the use of technology for blended learning.
  • System Development: Design and implement efficient operational policies and standard operating procedures (SOPs) for all non-academic areas (e.g., admissions, fee collection, logistics).

3. Qualifications and Competencies

  • Education: A Bachelor’s degree in Business Administration, Operations Management, Marketing, or a related field is required.
  • Experience: Minimum of 3 years in a management role with demonstrated experience in operations and business development/marketing, preferably in a service-oriented or educational sector.
  • Enrollment Focus: Proven track record of improving organizational visibility and driving revenue/enrollment growth.
  • Leadership: Strong leadership skills with the ability to manage diverse functional teams (Finance, IT, Logistics, Support Services).
  • Communication: Fluent in English and Kinyarwanda; proficiency in French is a significant asset.
